Simplifying Print Operations for a Leading Charter School

Campus Profile and Print Landscape

A top-ranked public charter school in Southern California serves more than 250 staff across two locations. With such a large and dynamic campus, the print environment had grown complex and difficult to manage over time. Over 160 devices were deployed across the organization, with more than 35 different toner types in use—creating complexity, inflating costs, and overwhelming the internal IT team.

Legacy Fleet Complexity Undermined Daily Operations

The school lacked a unified print strategy. Devices were inconsistent, many were outdated, and there was no central way to manage supplies or service. Staff spent unnecessary time handling printer issues, and IT had limited visibility into usage or expense. The school was operating under an ownership model, holding on to legacy devices far beyond their optimal service life, resulting in inflated cost-per-copy rates and constant toner challenges.

Fleet Standardization and Strategic Device Deployment

FlexTG conducted a full audit of device volumes, CPC, and total fleet performance. Based on the data, we recommended a full update and standardization across a single product line. The plan consolidated the device lineup from 35+ makes and models to just four, simplifying supplies, maintenance, and user support. The new fleet consisted almost entirely of desktop multifunction devices that shared toner and parts across the board. A pre-install coordination meeting with the school’s IT team and the manufacturer helped ensure the rollout was seamless. Devices were organized and tracked by make, model, serial number, and MAC address—resulting in a smooth, disruption-free implementation.

Operational Impact and Measurable Cost Reductions

The solution delivered measurable value across cost, efficiency, and oversight:

  • 12% overall cost savings
  • Black CPC reduced from $0.01531 and $0.024719 to $0.01
  • Color CPC reduced from $0.11979 and $0.123596 to $0.07
  • Device variety reduced from 35+ models to just 4

By transitioning from a reactive, purchase-and-own environment to a fully managed fleet, the organization improved control, lowered costs, and lightened the load on internal IT resources.

Positioned for Growth with Strategic Print Foundation

With a standardized, fully managed print environment now in place, the school is better equipped to support its growing staff and student body. Future opportunities include the adoption of print management software and ongoing partnership with FlexTG for quarterly reviews and optimization. The foundation is set for long-term performance, predictable costs, and scalability across all locations.
