A large California community college district serves students across multiple campuses, including its main colleges and district office. With a large student body and wide-ranging academic and administrative needs, the district relies on a reliable and efficient print environment to support daily operations for faculty, staff, and students.

The Challenge: Fragmented Print Environment and Student Printing Struggles
Despite its size, the district’s print environment had become fragmented and inefficient. Its previous vendor left inconsistent device mapping, minimal visibility into usage and costs, and outdated systems for managing student pay-for-print. Students faced confusing payment processes, while administrators lacked reliable data to make informed decisions.

Before engaging Flex Technology Group, the district explored proposals from major vendors but found that these solutions failed to provide actionable analytics or tailored recommendations. Many unnecessary A3 devices remained in the fleet, even though 11×17 printing was rarely needed. Without consolidation or modernized software, the district faced higher costs, inefficient operations, and poor user experience.

The FlexTG Solution:
Right-Sizing, Standardization, and PaperCut Modernization

FlexTG was brought in through a referral from the district’s CIO and immediately implemented a data-driven approach. Through an in-depth assessment, FlexTG identified opportunities to right-size the fleet, consolidate device models, and modernize the software environment.

The analysis revealed that many A3 devices were unnecessary, so 55 units were flipped to A4 models to better match usage. In total, FlexTG refreshed 156 devices across the district, consolidating the fleet to just four standardized models, simplifying management and support.

On the software side, FlexTG replaced outdated systems with a unified PaperCut solution that streamlined student printing, enabled secure badge release, and provided accurate usage tracking. Walkthroughs corrected inaccurate device locations, ensuring improved reporting and accountability.
