National Senior Living Provider Streamlines Print Operations Across 120+ Locations
The Challenge
A national senior living provider was operating a highly fragmented print environment. Across 120+ locations, they managed more than 600 devices from 11 different manufacturers, supported by 16 separate vendors. This setup led to inefficiencies, rising support costs, and a lack of visibility into device performance and usage.
The organization processed over 140 separate invoices each month, contributing to a print spend of nearly $40,000 monthly- or almost $500,000 annually. Additionally, nearly three-quarters of a million dollars in outstanding lease obligations made equipment upgrades financially difficult. IT teams were overwhelmed by frequent service issues and had limited tools to proactively manage performance.
The Solution
Flex Technology Group delivered a comprehensive Managed Print Services program to consolidate, simplify, and modernize the organization’s print infrastructure. The rollout included a refresh of 385 devices, the retention of 135 performing units, and the removal of 133 underutilized machines. The hardware fleet was streamlined to just three primary manufacturers to improve consistency and reduce service complexity.
Key software upgrades were also implemented, including cloud faxing and the elimination of print servers through simplified driver and device management. Both initiatives helped reduce costs by eliminating telecom expenses and minimizing unnecessary printing.
Operational Improvements
FlexTG also implemented its proprietary Alert Management System to enable proactive support and minimize unplanned downtime. The centralized portal provides real-time reporting, streamlined service requests, and comprehensive supply tracking.
Additionally, billing was consolidated from more than 140 individual invoices to just four per month, significantly easing administrative overhead. To support a smooth transition, FlexTG also assumed responsibility for the organization’s remaining lease obligations.
Key Results
- 38% in annual savings on document and print infrastructure
- Device uptime improved to 98% through proactive service
- Over 130 devices removed, with better fleet utilization
- Vendors reduced from 16 to 1, improving oversight
- Invoice volume dropped from 140+ to 4, saving administrative time
Looking Ahead
With FlexTG’s support, this senior living provider was able to reduce costs, simplify operations, and gain better visibility into their print environment. The new solution offers a more sustainable, scalable approach to print management, freeing up internal resources and improving reliability across all locations.
